Overall purpose

The accountability team is in charge of making that our intervention is done in complete respect of our beneficiaries and consideration of our beneficiaries and communities supported. The existence of this team also insures a certain level of accountability within the MEAL department itself. Under the supervision of the Accountability officer, and in collaboration with project staff, the Accountability Assistant is contributing to the implementation of Accountability activities in the field, by collecting data and feedbacks from beneficiaries and communities targeted by PUI projects. Accountability activities may include (but are not limited to) monitoring visits at project sites, Feedbacks field desk , collect feedbacks from the different channels implemented (such as feedback boxes), participate to the organisation of community consultations and meetings. In addition, Accountability assistant will be requested to produce daily reports on its field activities, including small scale analysis of the situations such providing feedback and observations as well as recommendation to improve program quality.

Responsibilities and scope of duties

  • Under supervision of Accountability Officer, Accountability Assistant will
  • Make sure the integrity of accountability process in place
  • Collect data in the field for Accountability activities in direct contact with beneficiaries and communities targeted by project, under direct supervision of the Accountability Officer and indirect supervision of MEAL Manager
  • Ensure quality of data and other information collected in the field
  • Contribute to improve analysis of data collected and reporting by providing inputs from the field
  • Report observations done on field during Accountability activities
  • Keep good contact with beneficiaries and representatives in PUI area of intervention
  • Visit all project location in his/her area of intervention in order to understand programming
  • Ensure functioning feedbacks processing mechanism, through effective collection (including field visits, management of beneficiaries’ hotline and complaints boxes and others) and data entry of feedbacks

Specific goals and related activities


  • Through field desk FPM mechanism, visit regularly all project locations in his/her area of intervention to collect direct feedbacks from beneficiaries and community members according to line manager planCollect feedbacks from FPM channels on a weekly or monthly basis.
  • Support of the Accountability Officer for the management Manage helpline by answering calls from beneficiaries and community members.
  • Call back beneficiaries and community members to collect additional information when relevant.
  • Call back beneficiaries and community members to provide answer related to the feedback when relevant
  • Support the Accountability officer in organizing and leading the monthly meeting with community committees if relevant.
  • Ensure data collection by complete fulfilment of pre-arranged questionnaires and forms, Kobo and update it; using PUI internal tools and including taking pictures of the Accountability and project activities
  • Lead and support enumerators (daily workers) during data collection processes if needed and ensure the quality of the data collected when requested by Accountability Officer
  • Responsible for equipment provided by PUI in the purpose of data collection.
  • Participate in the administrative and logistical organisation, planning and preparation of evaluation missions under supervision of the Accountability Officer.


  • Disseminate Program and MEAL key messages during field desk visits upon line manager request and in coordination with program colleagues
  • Contribute to the design of IEC materials, especially Program and MEAL key messages
  • Support the Accountability officer in organizing consultations with community representatives to discuss about FPMs (Needs assessment of FPM channels, lessons learnt meeting…)



  • Remains in touch with the population and local authorities to monitor consequences of external events on PUI’s activities as well as the impact of PUI activity on beneficiaries.
  • Based on field observation, report to line manager any un-answered humanitarian needs, modification in the operational context or any other protection issue related to the targeted communities.
  • Based on field observation, report to line manager any potential negative impacts in terms of protection / Do No Harm / acceptance linked with PUI operations.
  • Raise any information or difficulties related to PUI activities or security issues. 


  • Provides daily and weekly reports of his/her activity to Accountability Officer
  • Keep Accountability files archived at the PUI offices and accessible to the team
  • Proceeds to the transcription on soft copy of all data collected on the field through hard copies
  • Proceeds to the translation (to the best of the employee’s abilities) of the data collected on the field
  • Contributes to Data analysis by providing inputs from field observation
  • Report observations done on the field related to project and Accountability activities to the Accountability Officer
  • Report and address any irregular situation to the line manager considering the confidentiality of the topic.



  • Comply with PUI security protocol in the field
  • Actively participate in relevant learning, MEAL, strategic or programs workshops and meetings;
  • Identifiy challenges for the MEAL department, report and suggest continuously rooms of improvements based on the findings of Accountability activities
  • In case the employee has translation skills, she/he canontribute to speakingand writing translations for any MEAL document that requested by his/her manager, including but not limited to translation of survey, IEC tools, presence during recruitment or meetings (internal or external)
