Summary of the role:

The role of the Field Office Administrator will be to oversee and regulate the financial, human resource administrative and logistical functioning of INSO Iraq in Ramadi. S/he will report directly to the INSO Human Resources & Admin (HRAM). S/he will supervise drivers, guards and cleaners. The post is based in Ramadi with possible travel across Iraq if there was a need.  The post is offered on a one-year contract basis and renewable.

Key Objectives:

To maintain and control the cashbooks and ledger

  • Assist country Finance Manager (CFM) to update staff social security and taxes information.
  • Send CTRs on weekly and monthly basis to cover office running costs.
  • Follow up and submit Social security and taxes monthly payments in Ramadi.
  • Follow up with Banks, service providers and other government offices. 
  • Ensure that 100% of expenses are accurately entered on soft cashbooks on a daily basis
  • Ensure that 100% of entries to the cashbooks are supported by valid purchase request invoices and receipts

To assist the HRAM in the HR national staff administration

  • Assist the HRAM to file in a consistent and accessible manner all auditable documents (CV, leave records, disciplinary notices, hire notes, contract renewals …).

To assist the HRAM in the HR international staff administration

  • Assist the HRAM in all administrative process for visas, residency papers and other documents requested by the government for field international staff.
  • Assist the HRAM with travel and accommodation arrangement from National and International staff visiting Ramadi office.

Provide office support services in order to ensure efficiency and effectiveness within the INSO Ramadi office

  • Maintain service contracts in coherent and accessible manner
  • Assist the HRAM in all others administrative, financial and procurement/logistical requirements.

Mandatory Requirements:

  • Admin/HR/Finance educational background and working experience
  • Staff management experience
  • Mandatory INGO experience 2 years
  • Knowledge of administrative, HR and logistical processes
  • Computer literate
  • Fluent in English (spoken and written)

Preferred Characteristics (Not mandatory, but advantageous. Please specify in cover letter):

  • Existing (relevant) local information networks and contacts.
  • Knowledge of financial system and software will be an added advantage
  • Organised and structured personality
